> This feature is optional. If you don't see **Emails** on your form, your site may not use it or your role may not have access. Ask your agency if you'd like to use it.

You'll review who receives form emails, then send a test through the public form. An internal notification alerts your team. A confirmation email goes to the person who filled in the form. Neither replaces the responses stored in **Form Submissions**.

## What to agree with your agency

For each form, decide who should receive enquiries, what the subject should say, whether visitors need a confirmation email, and where replies should go. Your agency may need to connect the email service and verify the sending address first.

| Setting       | What it does                                                        | Tip                                                                                            |
| ------------- | ------------------------------------------------------------------- | ---------------------------------------------------------------------------------------------- |
| Recipient     | Chooses the inbox receiving the message.                            | Use a monitored team inbox for enquiries.                                                      |
| Subject       | Identifies the email in the recipient's inbox.                      | Include a recognizable form or site name.                                                      |
| Message       | Supplies the email's text and any submitted answers included in it. | Ask your agency to check that answer placeholders use the right fields.                        |
| Sender        | Sets the name and address the email comes from.                     | Use your site's verified sending address.                                                      |
| Reply address | Determines where replies go.                                        | For an internal alert, this can be the visitor's submitted email if your agency has set it up. |

Do not put a visitor's address in the sender field. Your own verified address should send the email; the reply address can point to the visitor.

## Where to edit notifications

1. Open the form in **Forms** and find **Emails**.
2. Review the recipients, subject and message with your team. Ask your agency to check settings you do not recognize.
3. For a visitor confirmation, make sure the form asks for an email address. Ask your agency to connect that answer to the recipient setting.
4. Choose **Save**, then test delivery through the public form.

## Check afterwards

Send a test through the public form using an address you control. Confirm that the response appears in **Form Submissions**, the internal notification arrives, and any visitor confirmation goes to the right address. Check the sender, subject, included answers and reply destination. Look in spam if a message is missing.

If the response is stored but no email arrives, give your agency the form name, submission time and expected recipient. They can check email delivery without asking you to submit the same enquiry repeatedly.
